This position is the leader of a team of administrative assistants that supports a department of about 30 professionals. This individual will be responsible day-to-day comprehensive administrative support, and coordination of all our Administrative Assistants in the department. This individual should possess excellent interpersonal, communication, and client/leader management skills while displaying the highest degree of integrity and confidentiality. The ideal candidate will be detail oriented, organized, creative, proactive, and understand the urgency and confidential nature of the position. The individual must thrive in dynamic and fast-paced environments, work well under pressure, and have a passion for administrative support work.
Responsibilities may include, but are not limited to: coordinating meetings; ordering supplies and equipment; and coordinating other assistants and clerical staff.
While this position coordinates and executes administrative tasks, substantial time is spent performing secretarial duties.
Calendar management and travel planning
Preparing reports and financial data
Supporting invoicing, purchase and contract processes
Expense reporting and management
Event, meeting and interview planning, execution & oversight
Project and special assignment work
Process support within systems and tools
Presentation and document creation, version management
High school diploma and 5 years of related experience required.
Proficiency in Microsoft Office (Word, Excel, Powerpoint, Outlook, etc.)
Incumbents in this position possess excellent organizational skills and can handle multiple tasks simultaneously.
Need to possess strong verbal and written communication skills.
