Position Summary:

The Administrative Assistant provides a wide variety of administrative and staff support services to one or more mid-level professionals.

Arthur J. Gallagher has an exciting and challenging opportunity for the position of Executive Assistant located in our Rolling Meadows office. The position will support two executives directly (Chief Financial Operations Officer and Assistant Corporate Controller) and the accounting management team.

Essential Duties and Responsibilities:

  • Provides administrative and secretarial support to one or more mid-level professionals.

  • Provides a wide variety of administrative and staff support services.

  • May assist in budget preparation and control activities.

  • May assist in the preparation and control of records, statistics, and reports regarding operations, personnel changes, etc.

  • Administers programs, projects, and/or processes specific to the operating unit served.

  • May serve as administrative liaison with others within and outside the company regarding administrative issues related to purchasing, personnel, facilities and operations.

  • Incumbents typically receive guidance and/or direction from more senior administrative staff.

Additional Considerations:

  • Manage day to day scheduling activities and calendar.

  • Organize internal meetings and set-conference rooms/calls as needed.

  • Coordinate travel arrangements both domestic and international.

  • Field incoming phone calls.

  • Track and process all expense reporting.

  • Develop and demonstrate a solid working knowledge of the firm's structure, service lines, key personnel, and policies and procedures.

  • Perform other duties as assigned or required with prioritization and a sense of urgency.

Required:

  • High school diploma.

  • Two or more years experience providing administrative support in a professional environment.

  • Working knowledge of Microsoft Windows and Microsoft Office applications.

Desired:

  • Must have good business acumen.

  • Experience supporting and Executive.

  • Associates or Bachelor’s degree preferred.

  • Able to discreetly manage sensitive and confidential information, exercise strong initiative and good judgment and demonstrate professionalism at all times.

  • Effectively and respectfully interact with various levels of senior management throughout the organization and outside business contacts.

  • Exceptional oral and written communication abilities.

  • Excellent planning, project management, organizational and time management skills.

  • Analytical, problem solving, and research capabilities.

  • Must be detail-oriented and rely on experience and judgment to plan and accomplish goals.

  • Very strong PC proficiency; highly skilled at Microsoft Office Products, Word, Outlook, Excel, PowerPoint and Internet Explorer.

  • Must be able to anticipate Executives’ needs and proactively address them within scope of authority.
